Create a shipment

Creating a shipping guide on envia.com is quick and easy. In just a few steps, you can compare shipping carriers, choose the one that best suits your needs, and have your shipping label ready to go. This guide walks you through every step of the process.

Before You Begin

Have the following on hand:

• The full address of origin (Sender): first name, street, house number, neighborhood, and ZIP code
• The full destination address (recipient): same information
• The exact package dimensions: length, width, height, and weight

ℹ️ It's important to use exact measurements. The final cost is calculated based on the greater of the actual weight and the bulk weight, and there may be additional charges if there are discrepancies at the time of shipment.

Steps to Create Your Guide

1. In the left-hand side menu, go to Create shipment > Create guide.

ℹ️ If you've already gotten a quote using the quote calculator, your address and package details will be automatically filled in. You can continue from step 3.

2. Fill in the addresses

Fill in the information for Origin (sender) and Destination (recipient):

• Full name
• Address and suite/apt number
• City and ZIP code
• State and tax id

ℹ️ If you have favorite addresses Once saved, they will load automatically. You can edit or change them right from this screen.

ℹ️ Avoid using special characters in the address fields to prevent errors when generating the shipping label.

3. Enter the package details

Please enter the dimensions and weight of your package:

• Length, width, and height in centimeters
• Weight in kilograms

ℹ️ Document and photograph the measurements before shipping. This can be crucial if you need to request a refund for overweight charges.

4. Select your shipping carrier

Click Quote to view the available options. Compare delivery times and prices, and select the shipping carrier that works best for you.

5. Review the additional services

After selecting your shipping carrier, you'll see the additional services available (varies by carrier). These may include:

• Insurance: Activate it and enter the declared value of the item to protect your shipment in case of loss or damage
• Other special services depending on the shipping carrier

ℹ️ Some services may come shortlisted automatically by the shipping carrier. Review this section before continuing.

ℹ️ If there are more than two services available, click on Read more to see all the options.

6. Choose how to ship your package

Depending on the shipping method you chose, you have several options:

Option	What does that mean?
Schedule Pickup	The courier service will pick up the package at your pickup address. Choose an available date and time.
Automatic collection	The shipping company schedules it automatically when it generates the shipping label. You don't need to do anything else.
Mandatory Collection	The package requires pickup. This option is already selected, and you cannot deselect it.
No collection	You must take the package to the nearest branch of the shipping company.

ℹ️ The pickup option only appears if the shipping carrier you selected supports it. If you don't see this section, you'll need to take the package directly to a branch.

7. Create your guide

Check that all the information is correct, and then click Generate shipment. Your guide will be ready to download and print.

8. Upload a photo of the package

Once the guide has been generated, you'll see a section to upload the photo of your package. We recommend that you always do this:

1. Click the upload icon ( ☁️ ) next to your package name.
2. Select an image in the following format PNG or JPEG.
3. The image will be automatically linked to your tracking number.

ℹ️ Having this evidence is essential if you need to escalate an incident with the shipping company due to damage or loss.

FAQ

Why was the final cost different from the quoted price? The cost is calculated based on the greater of the actual weight and the volumetric weight. If the declared dimensions or weight differ from the actual ones, the shipping carrier may apply an adjustment. Always use exact measurements when creating your shipping label.

Can I generate a shipping label without first placing an order? Yes. You can go directly to Create Shipment > Create Waybill and start the process from scratch. The quote tool is optional and is designed to help you compare options before committing to a shipping carrier.

What if I don't have access to a branch to drop off my package? In that case, when getting a quote, choose a shipping company that offers curbside pickup. That way, the shipping company will pick it up directly from your address.

Can I upload a photo of the package later? You can upload the proof from the screen that appears immediately after generating the waybill. If you lose track of it, you can also find it in the shipment details under the section My shipments.
